New Hire Information

Anything a new employee might need to know about the library.

Backpacks

We DO NOT keep backpacks for students! They need to keep their backpacks with them or leave them at their study room/corral.

*Exceptions should be documented on the incident report.


 

Bathrooms

Bathrooms for the students are downstairs in the tutoring center.

Those in wheelchairs may use the elevator or the upstairs staff bathroom.

If a library computer is rebooted, the student will lose all their information.

These computers will go back to their original setting every day to prevent viruses from downloading.

NO information will be kept from the previous day.

If the computer will not print, double click on the PrintSpooler Icon to reattach the printer to the computer. The document will need to be resent.

Copyright Guidelines

  • Copies

    • $0.05 for Black and White

    • $0.10 for Color

Cannot copy more than half the chapter (4-5 pages)

Cannot copy an entire story from a literature book

Passport, Driver’s License, Cash Money

It is illegal to make a color copy of a passport or ID, but you can significantly change the size, and it will be okay.

Students can email themselves a photo of the ID and print that photo.

 

Course Reserve

Course reserves are any item that a professor wants reserved for a class.

They are kept locked in a cabinet behind the information desk.

The professor can make the loan:

  • Library use only

  • Over night 

    • HAS to be returned the next morning

  • Or for 3 days

A cart can be kept for returned course reserve items, but if there is time, re-shelve immediately.

Door Locks

  • Front White Doors

The front outer doors stay unlocked at all times; however, if they should need to be locked, the plunger on the door jam has to be held in while the key is turned. Otherwise, the door will not lock.

  • Front Doors

To unlock the front inner doors, turn the key until it clicks, open the door, turn the key all the way back until it clicks again to lock it, then prop open the doors.

  • Back Door

To unlock the back door, turn the key until it clicks, open the door, and turn the key back until it clicks again to lock the door. The door does stick in the frame, so be sure it is pulled/pushed completely closed every time it is opened. THIS DOOR IS TO REMAIN LOCKED WHEN NOT IN USE.

  • Downstairs Gate

The downstairs gate is locked with a padlock. Undo the padlock, move the gate, and lock the padlock back on the bar.

Faxing

We DO NOT fax. If they say that they absolutely have to fax, send them to the business office in VLow.

 

Food and Drink

 

Drinks are allowed with a top or lid.

Vending machine type food is allowed. 

  • Chips, candy bars, etc.

No full meals from the cafeteria, Chick-fil-a, or other restaurants. No pizza.

 

 

FERPA

 

FERPA forms can be found through a link at the bottom of the library website.

 

Here they can also find Add/Drop Forms. Any additional questions can be answered by the Registrar’s Office.

 

Flyers

  • Only place flyers in the holder that is for the library

  • DO NOT USE the Suicide Prevention or CASA holders

  • Take old ones out/down and replace with a new one

  • DO NOT tape on windows or glass


 

  • Flyer Holder Locations:

    • Buildings with bulletin boards

    • In the staircase going down to classrooms

    • Take 9 copies to Housing to put in dorms

Equipment Borrowing Policy

Current Bethel University students, faculty and staff may check out specified equipment with a valid Bethel University ID for academic purposes only.

  • The patron’s ID will be held at the Information Desk until the equipment is returned.

  • A completed Equipment Checkout Form must be completed and signed.

    • Give forms to Assistant Library Director for archiving

  • Equipment is checked out on a first come/first serve basis

    • If all equipment is being used, a waiting list will be maintained at the Information Desk

    • Laptops currently checked out can be renewed, unless there is an active waitlist

    • Laptop check out will end 1 hour before the library closes

  • ALL EQUIPMENT MUST BE RETURNED 30 MINUTES BEFORE CLOSING

Microphones

  • Music Students only

  • Can be checked out

    • The library does not troubleshoot problems with the microphones; the library just houses the microphones

    • Students must follow the guidelines set by the faculty

Cameras and Projectors

  • Director approval needed

Lost and Found

If any personal belongings are found in the library, put a note with the date and when the student or security was contacted.

  • If a student ID, purse, wallet, keys, phone, driver’s license, or backpack is found, call security.

  • Document lost items on the Incident Report and whether they were picked up by the student or security.

    • This keeps us from not knowing where things are when they come looking for their lost item the next day.

  • If the item has identifying information, email the student to let them know that the item is either in the library or being picked up by security.

  • If a jump drive, keys, student ID, or wallet is found, they can be placed in the cash drawer with a note.

  • There is a Lost and Found Box in the cabinet where the laminated posters are.

If we have information on the item, attempt to contact the student 2 times during the semester. If the item is never picked up, it will be discarded or given away.

Personal Items Policy Reminders

  • All personal items brought into the library must be kept with the owner at all times.

  • DO NOT leave any personal item unattended in the library.

  • The library is not responsible for personal items left unattended.

  • Small items will be placed in the library’s lost and found.

  • Any unattended items left longer than 30 minutes will be retrieved and security will be called to pick up the item/s.

 

Medication

There is a first aid kit and other medications, such as Tylenol or Ibuprofen, available to the staff in the resource room. 

STUDENTS, even student workers, ARE NOT TO BE GIVEN ANY MEDICATIONS. THIS IS A LIABILITY.


 

Microphones

Microphone checkout is ONLY for students in the music program. Microphones can leave the building for use in Marrs-Stockton Hall.

  • Students will leave their ID at the Information Desk to check out a microphone.

  • Students must complete and sign an Equipment Checkout Form.

It will be the student’s responsibility to return the microphone during library hours in order to obtain their ID. Please remind the student.

If a microphone is not returned, the ID will remain at the library. When the microphone is returned, the student ID will be given back to the student.

DISCLAIMER: The Library is not responsible for any unreturned, stolen, damaged, or missing microphones.

For COVID protocols, as approved by the faculty, the items will be wiped down when returned and placed back into storage. There will not be any quarantine period.

Opening Procedures

Opening

Clock in

Open the front doors but make sure they will lock once closed for emergencies.

Check the Dropbox in the breezeway, books get checked in.

Turn on the lights (don't forget the Back Room) All lightswitches by the front door go up and the red switch comes down.

Unlock the gate downstairs

Turn on the digital sign

Pull out the IPad for students to scan in and out and enter a password to open. The password is 4083

Make sure that VendPrint is running

Vestibule fan: It will heat or cool the front area make sure it’s on when needed

Make sure the chairlift is at the top of the library

Turn on the circulation desk computers

Scan the books into Koha that need to be checked in

Walk around: the next items should have been done from the night before but check

Sound machines make sure they are on

Chairs that need to be pushed back up at the tables

Pick up trash

Return furniture and footstools to their original home

Kleenex boxes, are they full

Run sweeper if needed

Chair lift is at the top of the library

 

Closing: Closing at 10 pm to prepare the library for the next day

 

Work-studies may help to assist with completing the following tasks.

15 minutes before closing let students know

15 minutes before closing lock the gate at the bottom of the staircase. They can exit the basement from the Log Cabin side if we still have students.

Leave the lights on in the basement, security will get those later. We are not responsible for the downstairs, just lock up the gate and take care of the top.

Bring the chairlift back to the top of the library. This keeps anyone from downstairs obtaining access to the top of the library once the gate has been locked.

Check the dropbox and check-in the items so a fine will not be accumulated overnight.

5 minutes before closing (no earlier) close the front doors so no one walks in at the last minute.

Spray and wipe down: see Cleaning Procedures

Run the sweeper if it needs it.

Make sure the coffee pot in the back is turned off and put extra coffee in the fridge.

Leave on the 3 desktop computers and the 1 work-study laptop behind the information desk so the updates can be added. Per our IT department

Check to make sure all the study rooms, backroom, and all areas are empty.

Lamps in the backroom are turned off.

White noise machines are left ON.

Make sure the fans/heaters at the information desk and the back computer area are turned off, DO NOT UNPLUG.

The fan in the backroom & Study Rooms stays ON to help with mold.

Push the chairs back under the tables

Put footstools and furniture back where it belongs.

Count the money in the cash drawer and log the amount on the ledger in the drawer.

Straighten up the desk, and put your things away in your folders.

Begin Cleaning Procedures for disinfecting

Pick up the trash in the floor

Turn off all the lights & lock the doors.

 

CLEANING

 

BATHROOM: Use the spray on the little black table. Spray the toilet, soap dispenser, sink faucet, paper towel dispenser, light switch & door handle.

 

Night Supervisors Duties 1:30 pm -10:00 pm must work 7.5 hours

Keep the rules of the library consistent. PLEASE, we all need to be on the same page.

Monthly Social Media Insights/Analytics: Facebook, Instagram & Twitter.

Water Plants: Do weekly and pull dead leaves off and throw away do not put back in the planter. Have the students do this when they are here & part-time night employee/s. Keep an eye on them, don't let them over water). ***Check-in May for aphids and spray the plants and wash off the leaves if needed. ***Fertilize according to the slow-release fertilizer product, should be every 3 months

Proctoring

  • Laptops and computers are for study and homework purposes only.

  • The Bethel Campus Library does not offer proctoring services.

  • If a student needs to take a remote test, they need to contact CASA (downstairs).

  • The Library Study Rooms have windows, so they are not eligible for remote testing.

  • The Library does not do any type of testing or proctoring.

  • If a student asks, tell them the following:

    • The laptops are not designed to download additional software for testing.

    • The study rooms do not meet the requirements for remote testing.

    • The Library does not proctor any type of testing for Bethel or otherwise.

If a unique situation arises, check with the Library Director or Assistant Library Director.

 

Scanning

Current students, faculty, and staff can scan to email or jump drive for free.

If there is time and the library is not busy, community members may scan as well. If the library is busy with students, then they cannot.

How to Scan from Printer to USB Drive

  1. Plug in the USB Drive

  2. Place paper on the printer tray or on the screen (as if making a copy)

  3. Click on Print/Scan

  4. Click on Scan to Storage Device

  5. The access code is 24865

  6. Make sure the settings are right

    1. Click on Black and White or Color

    2. 1 sided or 2 sided

  7. Click on Execute

  8. Click on Check Status

  9. Make sure it says Scan Complete

  10. Click on Remove Device

  11. Click OK

 

Study Room Reservations

Keep a close watch on this, the students will not show up until the room has been approved because it sends them an email. **RESPOND QUICKLY**

Click on the LibCal Icon in the Bookmarks bar.


 

 To approve/deny any reservations, click on Booking Mediation.

Find the reservation and click on Approve/Deny.

Here is where the details of the booking can be seen, and if all is well, click Approve.

 

 

A Student later than 15 min loses their reservation!!!!!

When the student arrives click on the RED square it indicates who has the reservation. **Double-check the ID to make sure it is the correct student. **You may have to ask another student to step out. **Clean in between each student.

Put in the NOTES they were late. It will show us if they are a repeat offender. 3 times and they are no longer allowed to use the room.

Guidelines

·         Being 15 minutes late will result in the termination of your booking.

·         3 terminations will result in loss of privileges for the room for the rest of the semester.

·         Maximum reservation time 2 hours, you will need to leave the room after the 2-hour time limit.

·         Maximum usage 1 x per day

·         No talking on cellphones or using phones for multimedia, you may check out a laptop at the front desk.

·         Earbuds: You need earbuds to listen to music or do a Zoom class. You may turn the volume down so you do not disturb others outside the room.

·         Check-in will be at the front information desk. The door remains locked.

·         Library employees will ask other students to exit the room; do not disturb others.

·         Library employees will clean between each reservation.
