Group Study Room Guidelines and Procedures

Library Study Rooms

The Burroughs Learning Center has four study rooms: two twelve-person Group Study Rooms, an eight-person Group Study Room, and a six-person Group Study Room.

Study Room use and reservation are for current students, faculty, and staff. At this time we are not able to offer room use to Community or Alumni.

Availability of Study Rooms

  • Reservations are required for Study Room use starting Sunday, August 27, 2023. Due to the high volume usage and to ensure equal access, reservations are required.
  • Students are also required to check-in at the Information Desk for their reservation. 
  • The Study Rooms are closed and locked 15 minutes prior to the library closing

Large Group Study Rooms are provided for Bethel University Students and Faculty/Staff to study in groups or work on collaborative academic projects. Group Study Room users are subject to Library guidelines and all other University policies and rules.

  • Users are limited to 3-hour time slots with no back-to-back reservations. 
  • Rooms 1 & 2 must have 3 or more users to reserve the room and must be present at the time of booking.

The Library strongly prefers that the groups and individuals using the Group Study Rooms police themselves. The Group Study Rooms are not soundproof. Therefore, the Library asks that groups and individuals using the study rooms please respect others’ need for a quiet place in which to study and maintain a study/work environment that does not disturb others in the Library.

Users of the Groups Study Rooms are responsible for all Library equipment in the space and should immediately report any damaged or missing equipment to the Library Staff.

Study Rooms are for studying, writing, and assignment preparation. Due to demand, we are not able to offer rooms for television viewing or video gaming. If you have any questions, please contact the Information Desk.

Group Study Rooms are equipped with conference tables and chairs, and a whiteboard. Whiteboard markers, erasers, Projectors, and Dongle (which allow students to project their laptop screen to the TV) are available for checkout at the circulation desk.  Food and drinks are allowed in the Group Study Rooms as long as they are compliant with the Library’s Food and Drink policy.

Students that owe a fine may reserve the room, but items are not available for checkout until the fines are paid.

In addition to the outlines above, the users of Groups Study Rooms are required to follow the library's usage guidelines and procedures. If users elect to not follow the aforementioned guidelines and procedures, then the library staff reserves the right to decline room reservation requests.

Reservation Procedure

Group Study Rooms are reserved on a first-come, first-serve basis; there will not be a waiting list. Reservations may be scheduled up to 2 weeks in advance on the Library web page. 

  • There are occupancy limits in effect and are posted on each of the rooms. Maximum occupancy will be strictly enforced (no extra seating will be allowed). In the event an individual wants to reserve a group study room for single occupancy, the individual must speak with Library Staff regarding the strict regulations of the reservation.
  • The individual will need to provide a detailed description of why they need a room (such as, "I need to practice the formal presentation I am giving for my senior project.")  There are several factors that will be taken into consideration when approving or denying a single occupancy reservation, such as but not limited to, the number of groups needing the Group Study Rooms at the same time.
  • Bethel University Faculty wanting to reserve a Group Study Room may do so with the understanding that the reservation is for Research Purposes and not to be used as a regular classroom or individual use. Reservations must be submitted online through the library web page, and abide by the 6, 8, and 12 maximum occupancy guidelines.
    • Study Room Recurring Reservations by Bethel Faculty for review sessions (not scheduled classes) can be made for a maximum of 3 hours for a single study room, for a maximum of one day per week, with a maximum duration of 3 weeks. Requests to have a recurring reservation beyond these measures are required to be submitted to the Library Dean for review. 

Bethel University Faculty and Staff wanting to reserve a Group Study Room for collaborative academic projects may do so with the understanding that reservations are to be made online through the Library web page and abide by the maximum occupancy limits of 6 to 12.

Groups or individuals wanting to reserve a Group Study Room are required to:

  • Have a valid Bethel University ID number; email address, contact phone number, number, and names of individuals in the group.
  • Complete the reservation online. Access to the Group Study Room Reservations through the Bethel University Library web page. Reservations are taken online through the Library web page. Please do not call the Library or approach the Circulation Desk for the employees to make a reservation for you. If an individual calls the Library or approaches the Circulation Desk, they will be directed to the Library web page to complete a reservation request.
  • The person who made the reservation must be present in the study room at all times. If that student leaves and is in need of his ID then another student from the group will need to register for the room.
  • Dry Erase markers and Erasers are available at the Information Desk for checkout; the student must give their Student ID for the Library Staff to hold until the student returns the markers and erasers. If they are not returned the student will be charged for replacement items.
  • Notify the Library immediately if the group decides not to use the Group Study room at library@bethelu.edu
  • A room reservation expires 15 minutes after the beginning of the reservation.
